Privacy Policy

Last Updated: September 22, 2026

The short version: We collect what we need to book your visit, keep everyone safe, and stay in touch. That includes some information about your children, which we get from you and never from them. We don’t sell your information. You can ask us to see it, change it, or delete it at any time.

1. Introduction

Welcome to Sandmagination (“Company,” “we,” “our,” “us”). Your privacy is important to us, and we are committed to protecting the personal information you share with us. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, use our services, or interact with us.

2. Information We Collect

We may collect the following types of information:

  • Personal Information: Name, email address, phone number, mailing address, and any other information you provide.
  • Children’s Information: First name, date of birth, and age of children attending with you. This information is provided by a parent or guardian at the time of booking or when signing a waiver. We do not collect information directly from children.
  • Waiver Information: As part of our safety and liability requirements, we collect waiver data for every person entering the facility, including names, contact details, and acknowledgment of our terms.
  • Payment Information: Payments are processed by our booking provider and its payment processor. We do not store or have access to full payment card numbers.
  • Non-Personal Information: IP address, browser type, operating system, referring URLs, device information, and other technical data.
  • Cookies and Tracking Technologies: We use cookies and similar technologies to operate the site, understand how it is used, and improve it.

3. How We Use Your Information

We use the information collected for purposes including:

  • Providing and improving our products and services
  • Processing transactions, bookings, and memberships
  • Storing and maintaining waiver records as required for legal and liability purposes
  • Sending promotional materials, updates, and event announcements, including birthday offers and age-appropriate activity information based on a child’s date of birth (you may opt out at any time)
  • Enhancing website functionality and user experience
  • Complying with legal obligations and preventing fraudulent activity

4. How We Share Your Information

We do not sell or rent your personal information. We may share it in the following ways:

  • Service Providers: We share information with vendors who operate parts of our business on our behalf. These include our booking and waiver platform (Roller), our email marketing platform (Mailchimp), our payment processor, and website analytics providers (Google). These vendors may use your information only to provide services to us.
  • Legal Compliance: We may disclose information if required by law or to protect our legal rights.
  • Business Transfers: In the event of a merger, acquisition, or asset sale, your data may be transferred to a new entity.

5. Data Retention

We keep information only as long as we need it.

Waiver records: Waivers are retained for as long as a related claim could be brought. Because most of our guests are children, and because the time limit for a minor to bring a claim in Massachusetts does not begin until they reach adulthood, waiver records for children are retained well beyond the period the waiver itself is valid for admission. Waivers signed by adults for themselves are retained for a shorter period. We retain these records solely for legal and liability purposes and do not use them for marketing.

Booking and transaction records: Retained as required for accounting, tax, and audit purposes.

Marketing contacts: Retained until you unsubscribe or ask us to remove you.

Children’s information: Removed from marketing use once a child ages out of our programs, and removed sooner on request by a parent or guardian.

6. Data Security

We implement appropriate technical and organizational measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. However, no data transmission over the internet is completely secure, and we cannot guarantee absolute security.

7. Your Rights and Choices

You have the right to:

  • Access, update, or delete your personal information, or that of your child. We honor deletion requests except for waiver records and transaction records we are required to retain for legal, liability, or tax purposes. If you ask us to delete your information, we will remove you from all marketing and remove any information we are not legally required to keep, and we will tell you what we retained and why.
  • Opt out of marketing communications, using the unsubscribe link in any email or by contacting us directly.
  • Restrict certain data processing activities.
  • Request a copy of the personal data we hold about you.

To exercise these rights, contact us using the details below. We will respond within 30 days.

8. Children’s Privacy

Our services are designed for families with young children. We collect limited information about children, including first name and date of birth, but we collect it only from a parent or guardian, never from a child directly. Children cannot create accounts, sign waivers, or submit forms on our website.

We use children’s information to manage admissions, meet safety and liability requirements, and send birthday and age-appropriate offers to the parent or guardian on file.

A parent or guardian may request access to, correction of, or deletion of their child’s information at any time by contacting us. We will remove a child’s information from all marketing use on request. We are not able to delete waiver records, which we are required to retain for liability purposes for a period that extends past childhood, but those records are stored securely and are never used for marketing.

9. Third-Party Links

Our website may contain links to third-party websites, including our booking and waiver platform. We are not responsible for the privacy practices of these external sites and encourage you to review their privacy policies.

10. Changes to This Privacy Policy

We may update this Privacy Policy periodically. Any changes will be posted on this page with an updated effective date. We encourage you to review this policy regularly.
